Why you Should Consider Hiring a Day-Of Wedding Coordinator

If your budget is tight or you are a DIY couple, day-of wedding coordinator services are a must. Find out what they are, what they do and how much they cost.

A day-of coordinator is of great assistance to the bride and wedding party.

A day-of coordinator is of great assistance to the bride and wedding party.

Enter the day-of wedding coordinator, a sweet trend to help couples on a budget and brides who really want to get involved in their wedding planning, fully enjoy their D-day.

What is a Day-Of Wedding Coordinator?

Plain and simple, a day-of wedding coordinator is a planner hired to help with management and support on the big day.

Although called “day-of,” they don’t just show up on your wedding day and work magic. They meet with you in advance should really be called, month-of coordinators.

A day-of wedding coordinator becomes the director of the event. She coordinates the flow, the timing of your hired vendors, and makes sure your wedding is as you have envisioned it.

Unlike full-service wedding planners, day-of wedding coordinators aren’t in charge of the whole planning process. Instead, they work together with the couple to ensure the smooth running of things through the rehearsal dinner and the day of the nuptials.

Some planners specialize in these types of services but full-blown wedding planners may also offer a day-of coordinator package. So, if you are in love with a wedding planner’s work but your budget is too tight to hire him to organize your whole wedding, ask if he offers day-of services. 😉

Relax and enjoy your first dance with the peace of mind that a day-of wedding coordinator can give you.

Difference between the Venue Coordinator and the Day-Of Planner

While the venue coordinator will usually assist you during the reception on the venue’s behalf, the day-of planner will be by your side the whole day. The day-of coordinator will run the rehearsal, setup and cleanup, deal with your guests and help you with your decor.

Some venue coordinators may go the extra mile. When in doubt, ask and be specific.

A day-of coordinator will create your day-of timeline mapping all of the arrival times, setup times and more, than need to happen for a flawless event.

Why Hire a Day-Of Wedding Coordinator?

Of course, come D-day, you would need someone to guide your guests, coordinate with vendors, and make sure everything runs smoothly. From floor plans to cake placement to lighting levels, someone needs to set the mood and determine what’s appropriate.

You may be trying to save a few bucks by having your bestie take care of all this. But remember, she may not be an event planner, she’s also a guests, and you are not paying her…

Hiring a day-of wedding coordinator will give you the piece of mind that you will need. Place everything in the hands of a skilled professional. It’s your wedding day. Live a little!!

Coordination of rehearsal, ceremony, cocktail hour and reception are some of the tasks the day-of coordinator will tackle for you.

Day-Of Wedding Planner Services: What They can do for You

Besides consulting with you well in advance of your D-day, visiting the venue, and conducting the wedding rehearsal the day before, day-of planners will be the go-to person so your day goes as amazingly as you always dreamt it would be.

Day-of wedding planners are skilled and effective at vendor coordination and turning your vision into a reality.

Before the Wedding Day

They will meet with you and consult to understand your vision and what you expect to happen on your wedding day. One or two venue walk-throughs will be performed, depending on the hired package. The day-of planner will also create your wedding-day timeline and manage your wedding rehearsal.

They may even suggest vendors and share planning tools to help out with the organization of your big day.

Day-of wedding coordinators will do a site visit with you and understand what you want your wedding day to look and feel like. Then, they will run the show.

On the Wedding Day

On your big day, your day-of wedding coordinator won’t only run emergency deliveries or directing photo schedules, but also fend off obnoxious guests wanting to see the bride as she is getting ready!

From helping you get ready for the ceremony, guiding the bridal party through the processional and recessional to the cocktail hour, dinner and dance, these experienced planners work their magic.

Being in charge of details like giving the final head count to the caterers, a day-of coordinator is of great assistance to the couple and their wedding party. A day-of wedding coordinator will sign for deliveries, send necessary info to vendors, amongst other details. They really take away the stress and work at a very reasonable cost.

With day-of wedding coordinators, it eventually becomes an “all in a day’s work” affair. Like checking for menus, napkin folds, and placement of favors, they ensure every detail looks flawless. For gift collection and inventory, you would need a point of contact to keep things moving and that’s where the planner comes in.

The day-of wedding coordinator becomes your go-to person in case of any itch, concerns, or unexpected, last-minute hiccups till you drive into the sunset with your partner. Someone in charge of the “dirty work” as you enjoy your day.

How Far in Advance should You Hire a Day-Of Coordinator?

Day-of wedding coordinators are actually hired well in advance of your wedding day. Depending on the planner and the services offered, you may even have to book your day-of wedding coordinator four or five months ahead of D-day.

At the very least you should allow four to six weeks for your coordinator to get acquainted with you, understand your vision, do a walk-through of the venue, meet with your vendors and prepare your wedding timeline.

Some day-of coordinators can jump in at any point of your wedding planning process and ensure that you have a flawless wedding day.

Wedding After-Party Guide: The 11 Biggest Tips to Throw a Legendary Bash

Let’s cover the basics and a few eccentric ideas to organize the most legendary wedding after-party ever.

A fab wedding after-party at a NYC rooftop. Definitely on fleek.

A fab after-party at a NYC rooftop. Definitely on fleek.

The wedding after-party trend is steadily growing into a nuptial delight for newlyweds. Wedding rockers know that the real, wild celebration only begins at the post-wedding celebration.

Nobody wants to go home at the venue’s cut-off time, so instead of trying to sort out where to go after the reception – and we know how that usually goes – why not plan an out of this world’s wedding after-party?

What is a Wedding After-Party?

It is a basically a post-wedding get-together: an informal way of prolonging the festivities into after hours and beyond.

More of a post-wedding reception party when you don’t want the last dance to remain the last dance. Amiright?

Why Organize a Wedding After-Party

Besides being a great way to let loose the party animal in guests, a wedding after-party gifts the revelers amongst them with a memorable event. A wedding after-party provides a converging point for all-night excitement and reunion. Sure, you’d want to stretch your most memorable day to its limits with the people that matter most.

In fact, a post-wedding celebration is a lovely intimate affair. Since you were too bogged down with chatter at the reception with several guests, you barely had time for your “real ones.” Thanks to a post-wedding reception party, you can reconnect and show your gratitude with all-night fun, snacks and drinks.

After all, more and more couples are opting out of the traditional departure at the end of the reception to continue the party at the wedding after-party!

How to Invite to the Post Wedding Reception Bash

Here’s how to set to the ball rolling.

Via word of mouth, a Facebook event, email or formal invitations, send invites to the selects you’d want to thrash out the night with. However way you choose, make sure to give guests heads-up before the reception. This brings us to the next question.

Hang out after the wedding reception with your framily at the beach. Perfect for the most boho of couples.

Who hasn't dreamt of a post wedding reception at the beach? Love the decor.

Whom to Invite

Invite close friends and framily and mostly party animals you are sure would definitely want to turn up. Take into consideration that other late-night owls may want to join in, and you cannot turn them down. In all, be careful with planning your accommodations so you don’t over or undershoot your budget. Not many people have the spirit to rock into the wee hours of the morning, and that plays in your favor. 😉

Wedding After-Party Location Ideas Nobody Will Ever Forget

Location, location, location. To ensure a smashing success, choose a venue that is relatively close to your wedding reception.

Whether you opt for something intimate or elaborate, choose a unique ambiance for your wedding after-party. You can book a small hotel suite, a really cool rooftop, or a boat!

But if you have overshot your budget with the wedding, look for spots like bowling alleys, hotel bars or lounges that don’t require rental fees and are open until really late (or really early). Just make a reservation in advance and give them and approximate head count. Moreover, since it might just be a small crowd, you can all chill in the rustic glow of your backyard. The choice is yours.

Post Wedding Celebration: Bring the Décor

Make it yours. A good rule of thumb is to shake things up with your wedding after-party. Be it swank or hardcore, remember to make the post-wedding reception party match your personality.

Decorations shouldn’t be a big deal for an intimate wedding after-party. Reuse floral décor and party lights from the reception, if necessary. That is, if the venue of the post-wedding isn’t at the reception or it’s not a place where no added decor is needed. But if you feel the need to dazzle, go for an opposite feel to the actual wedding. Get your bridesmaids and groomsmen working on that tropical, country, or Bohemian look for your wedding after-party theme.

Post Wedding Reception Party Fun!

Have a change of clothes handy for both of you and the wedding party! Unless you want to have a “Trash the Dress” session at your after-party, of course.

Let there be dance. What’s a party without music? If the venue doesn’t provide music, invite a DJ or have that cousin whip out the old iPod or Spotify and blast that fire playlist on speakers.

Let the fun begin. Be it a wild or a mellow affair, make your post-party celebration a fun with talks and even party games. Add a DIY Photo Booth, organize a game of “flip cup” or a scavenger hunt, hang a piñata or a game of pin the tail on the donkey. If your party is at the beach, how about a volleyball game? You can decorate the net with Christmas lights.

All About Pop-up Weddings: From Beginning to End!

Pop-up weddings are a stress-free solution for couples. The price is right, the planning is done, so just show up & have a great time!

No matter how small, pop-up weddings are packed with emotion.

No matter how small, pop-up weddings are packed with emotion.

If you are the laid-back type with a spontaneous sense of adventure, pop-up weddings are the perfect way to get married. If you want a cheap getaway wedding without the hassle of endless planning, think pop-up weddings.

We tapped onto the expertise of two fantastic pop-up wedding planners, Pop The Knot and Pop! Wed Co., to help bring a complete guide to pop-up weddings.

Crazy, affordable, spontaneous and free of headaches, pop-up weddings are the flexible alternative to event-based weddings many newlywed millennials are taking delight in right now.

What are Pop-up Weddings?

Pop-up weddings are small, adventurous, reasonably short and sweet wedding ceremonies. A small shindig of 3 to 10 people – maybe 20 at most.

They are very affordable and definitely trending among couples who would rather spend their money on travel rather than on an outrageous bash. Or among couples who shudder at the mere thought of wedding planning! 😉

Pop-up weddings may be held in public places of sentimental value to the couples. Think random bystanders on the street you first met. Think the sprawling backdrop of a quiet public park for your first kiss, or even in the steely ambiance of your favorite brewery.

Or the wedding planner may offer you a choice of venues for the dates you are looking for.

Either way, it will be the couple, the officiant, a photographer and a few witnesses. So you pick an place or theme close to your heart and include or exclude any wedding tradition of your choice.

How Does a Pop-up Wedding Ceremony Work?

With pop-up weddings, like popping up in a scene to shake things up, you can ditch months of wedding planning. Zero stress.

Get in touch with a pop-up wedding planner, and find out what options they offer.

There is no need to fret about the little things that make for a “perfect” wedding. All you really need is a bouquet, maybe a small floral decor or two, and biodegradable confetti — anything of sentimental value to accent your big day. Don’t forget to grab a handful of sparklers as you figuratively walk down the aisle. They’ll take care of the decor, the food and of the marriage license.

If you are going solo and get to pick the venue, choose the one that you and your partner are crazy about. From your favorite coffee shops to museums to the front of an ice cream truck, the venue of a pop-up wedding rides on delights unexpected.

This will be your task list: pick your outfits, makeup and hairstyle, file for a marriage license and put together your very short guest list. Voila!

You will discover that some people may not like not being invited given the restriction on the number of guests. A solution? Share photos of your wedding on social media and they will soon realize why they weren’t included. Another great idea: organize an informal party at home after your honeymoon!

Pop-Up Wedding Advice from the Experts

Michele Velazquez of Pop The Knot says, “Pop-up weddings are the perfect solution for those couples who want a fun and stress-free wedding and don’t want the expensive costs a traditional wedding carries.  These couples prefer to spend their money on down payment for homes or an epic honeymoon versus feeding and entertaining guests.”

“If you have already decided a pop-up wedding is for you, it doesn’t mean you have to give up all of the things that make up a traditional wedding” – Michele says. “Rock your beautiful wedding gown in the middle of Central Park if you want.  Have a violinist play the Bridal March or maybe another unique song. Take beautiful posed wedding photos and enjoy your big day.”

There is no need to bend to tradition, or spend outrageous amounts of money on things you are told you need. The only thing that matters at the end of the day is that you are married to the person you love the most in the world. So make sure that your wedding day is about you and your partner, and the way you would like to celebrate.”

“We’ve had the best wedding experiences when the venues explicitly agree to host our weddings” – says Maggie. “If you’re hoping to get married at a small business, like a local coffee shop you love, ask first! In the past, local businesses have been over the moon excited to welcome couples for popup weddings, and it’s so much more fun to team up with the proprietors than to try to sneak around.”

We had to share this tip from Maggie and you’ll see why:

“The famous sendoff photo (with confetti, sparklers, etc.) is the perfect end to a tiny wedding ceremony. If you have a few guests, you can grab some confetti and go for an epic exit after your first kiss. Just make sure you warn your photographer, cause that photo op will rock.”

Pop-up Wedding Ideas to Fall in Love With

What about a restaurant pop-up wedding? Probably where you and your boo had your first date and the magic fell in. Just ask your planner to make reservations for your pop-up wedding. Whether it’s a fancy place or a burger joint, treat yourself to carefree adventure and save mula.

Or go out on the town! Who says you need to bring a theme to a pop-up wedding? The theme is in the venue; have your wedding on the street and sightsee the city or countryside. Make sure to bring along your favorite people.

A pop-up wedding in the woods will be breathtaking. With the sun shining, the birds singing, a natural landscape beautiful in the backdrop. Say your “I do” right in the middle of nowhere! On the other hand, just have a picnic pop-up wedding with picnic baskets and food for everyone to dine on.

If you want a cheap getaway wedding without the hassle of endless planning, think pop-up weddings!

You can go also go boho in your favorite brewery—and have your first dance while the workers in overalls cheer on.

Some pop-up wedding planners offer themes like Star Wars, trashy Vegas or vintage-glam! Take your pick!

Alternatively, you could just go for a trailer or trailer park wedding. With flashing “just married” neon lights, you could have a mobile pop-up wedding, saying your vows as you are driven around town.

Something old, something blue… how about the shoes?

Ever wonder why a navy blue wedding is that classic crowd favorite? Easy. Navy blue isn’t just magical on table linens, flowers, and bridesmaid dresses, it’s totally exciting. Take for instance a dash of this trending navy blue: the refreshing Pantone Navy Peony. And watch it bring deep blue fire into any of these wedding color schemes.

Navy Blue Wedding Color Schemes We Love

When Navy Peony is paired with other colors, this combination will delightfully harmonize in creative gorgeousness. And because there are several options to choose from, we have compiled our list of stunning ideas and decor you can steal for your navy blue wedding.

Navy Blue & Fuchsia Reception: Energetic and Classy

What happens when you spice deep blue with hot purplish pink? A rich wedding color scheme ripe with floral beauty is what you get. Whether you place the combo on your wedding cake or centerpiece, navy blue and fuchsia stands out with elegant simplicity.

From navy-colored votive candles to fuchsia tablecloths, bring out that spark in your navy blue wedding. Throw in a shade or two of these color palettes on napkins and dishes. Then choose to accent your fuchsia bouquet with navy blue ribbons.

A navy blue and fuchsia pairing is awesome for spring and outdoor weddings. And an intimate fall wedding will definitely benefit from some touches of fuchsia. This color palette will have your guests bubbling with energy.

Romantic Blush and Navy Blue Wedding

When you desire that soft and romantic palette, this pairing cannot go wrong. This romantic color will sweeten up celebration in no small terms.

Moreover, because it is an every season combo suited for the masculine (navy) and the feminine (blush) gender, have your bridesmaids look cute in blush gowns and navy blue shoes. And your boys dapper in navy blue suits.

Don’t forget your bouquets—add navy blue berries to blush bouquets and drench the ceremony in cheerful flush. Vintage weddings can leverage their looks with gold blush and navy blue color schemes. Glam it up by adding touches of gold, bronze or any other metallic or soften it with a bit of gray.

Remember too that navy blue and blush will rest gorgeously on your table decor. And if you’d like to channel your blushing bride, go ahead with a blush wedding gown with navy blue accessories.

Coral Makes a Navy Blue Wedding Pop

Nothing says bold and fun like bright pink. Corals are magical when laced with a navy blue decor. Perhaps one of the most elegant and fun wedding palettes, as the vibrant mixture bursts and dazzles at the same time. A Pantone navy peony and coral color scheme is ideal for summer weddings.

Surround your navy blue wedding with a feeling like no other  Add a pink feminine balance against the navy blue backdrop. From navy blue dishes to accented coral bows on navy blue chair covers, let your wedding color scheme fly. Besides, coral is a color easily found in nature, add some contrasting blooms such as peonies, dianthus, roses, tinted hydrangeas or Peruvian alstroemerias.

Nautical or Classic White and Navy Blue Wedding

From white and blue laser cut wedding invitations to simple and affordable white baby’s breath bridal bouquets, this classic color combo is easy to pull and always looks fantastic. Our biggest recommendation is to ensure that the wedding venue colors do not add too much to this nautical pair palette.

We love classic navy blue and white weddings against a rustic, outdoor or indoor setting. Needless to say, if you are celebrating your wedding reception anywhere near the water, a nautical theme will definitely wow your guests.

Affordable Winter Wedding Ideas that will Drop your Socks Off

Here are a few creative winter wedding ideas that won’t do a number on your wallets. Candles are all the rage during the holidays and if you wrap them in cinnamon sticks they will smell amazing—but should only be used as effects. However, because of a fire hazard, many venues don’t accept open flame decor. Make sure you check first.

A scattering of “snowy” pine branches and pinecones may also do wonders to your tablescape. Leverage poinsettias, holly, and other astonishing florals like perfectly opened amaryllis blossoms or hydrangeas that are in season to save some cash. Forget summer or spring flower decor and bring out the mistletoe! Have your guests share in the the kissing fun!

If you had enough of the Christmassy winter wedding ideas, go super upscale with a black and white wedding or introduce cozy blankets, scarfs and faux-furs! Leave the greenery outside and bring in iced branches with lots of bling. Better yet, use real or fake snow on your photos. You won’t regret it!

Another fantastic idea I personally love are beach weddings in the wintertime. They are way affordable and, depending on the time of year, there aren’t many tourists to crowd your pictures!

What to Serve at a Winter Wedding?

Also, winter is perfect for heavy meals and alcohol. And nothing says warm tummies more than a chocolate bar at a winter wedding! Present your guests with cookies, cakes, fig pies, mulled cider, marshmallows and a variety of chocolates, coffees and teas.

Cold weather is also a great excuse to indulge on some extra calories the foodie way. How does baked brie with rosemary, honey and candied walnuts sound? Maybe it’s time to bring in comfort foods like a creamy roasted tomato basil soup paired with butternut squash and spinach lasagna. Definitely original and on fleek.
